Value-added tax (VAT) or goods and services tax (GSTcan be applied in ADvendio to ad specs, media campaigns, campaign items, invoices and invoice items by choosing from a picklist. Therefore, the you as an administrator can set up the values like described below.

Media Campaign - Tax (VAT)

The field Tax (%) is a picklist field that can be edited in the setup to create different picklist values.

Edit the VAT in the Media Campaign:

  1. Click the button Edit.
  2. Select the value in the picklist and click Save.

Media Campaign - Setup Tax Values

The system administrator is able to change TAX values in the picklist or create new picklist values. Moreover, these values can be deleted, reordered or replaced by new values.

To edit TAX values in the picklist or create new picklist values:

  1. Navigate to Setup > Create > Objects > Media Campaign > Custom Fields & Relationships and click Edit next to the field Tax (%).

    1. Scroll down to the section Picklist Values and click Edit to edit an existing value.
    2. Scroll down to the section Picklist Values and click New to create a new value.
  2. Click the button Save.

You can set a default for the picklist, if needed. To add a new value to the picklist values for a particular record type, check the record type checkboxes next to the record type name.

In order to set up the correct calculation of VAT for your invoices you have do the following steps:

  1. Create VATs Custom Setting(s) with percentage and country referenced.
  2. Add a Country (Code) to your Sales users who owns the media campaign and becomes the Sales Rep
  3. If ADvendio Standard field is not there, create a custom field "VAT Exempt" on the media campaign
  4. Finalize the BA mapping with new field VAT Exempt from 3.
  5. Make sure that your AdSpecs are mapped
  6. Invoice Preference: Set Gross Campaign Cost

1. Manage Custom Setting - VAT

The custom setting with the label VAT defines all VAT rates and their validity.

Enter your VAT information:

  1. Navigate to Setup > Develop > Custom Settings > VAT > Manage and click New or Edit next to existing records.
  2. Enter a Name for this VAT information, for instance, use "DE_2016_Typ1".
  3. Enter the Country Code or Country to ensure this tax is only been applied for this one country. You might, for example, enter 
    1. DE, 
    2. Germany, or 
    3. Deutschland.
  4. Enter the Type. !!! Important: This type needs to match the VAT Type Numbers in your Adspecs. Pls refer to No 6. 
  5. Enter the VAT in %, for instance, use "19,00".
  6. Enter Valid From as well as Valid to, if this VAT setting is valid in an specific time frame.
  7. Click the button Save.
  8. Delete or modify the records that come with the ADvendio package.

2. Sales Representative Country Code

The country of the sales representative (owners of media campaign) is used to locate from which country the invoice was created and mapped to pull the right VAT Custom Setting with the appropriate VAT.

Enter the information in the field Country by clicking the button Edit next to a user to enter the correct country. This entry has to be the exact same as in the Custom Setting VAT under 1.3.  Please enter DE, Germany or Deutschland exactly as above.

4. Manage Custom Setting - Mapping BA

You might need to extend the custom setting Mapping BA. This mapping is used to create a new pre-invoice out of your media campaign when you push the "create pre-invoice records" button or do a pre-invoice billing run.

Map all the fields you have in the Media Campaign to the related in the invoice object you need. Therefore navigate to

  1. Setup > Develop > Custom Setting > and 
  2. Find Mapping BA
  3. Click on Manage
  4. If not already mapped: Click on Target and set Vat Extempt to VATExempt__c, set other values you like to map.
  5. If not already mapped: Click on Source and edit Vat Extempt to VATExempt__c, set other values you like to map.

5. Complete tax data in AdSpecs

Make sure your Adspecs have the VAT Type set to either 1 or 2. This should match the type in the Custom Setting VAT, see step 1 above. Use Type 2 if you have a second tax rate.
