5.3.2 How to schedule and manage Delivery Reports / Programmatic Data Imports from AdServers, SSPs, DSPs (New interface)

Challenge

You successfully connected your external systems to ADvendio and now you want to do one of the following:

  • Get in delivery data for running and finished Campaign Items, to see their performance and start invoicing based on actuals

  • Set up detailed breakdowns for your Delivery Reports, so you can see delivery by site/medium or even more details

  • Plan a quick update of your Items data, so that your Sales Reps can see at a glance if Campaign Items perform according to the defined goals

  • Check when the next delivery import is due

  • Change the time for your planned imports or who will receive an email with the results

  • Bring in your programmatic data from SSPs or DSPs to start reporting or using that information in our accounting interface

  • If there was a problem with your last import, you can check if all settings are configured correctly and reschedule the import if needed

For all these things, we can offer you a single interface. So you will have all relevant information and settings in one place and can quickly change everything to your desire.

This is our Delivery Report Center. Go to the App Launcher and type in "Delivery Report Center"

Once opened you will see the following overview

You can see all delivery reports and imports that are currently planned for your Org.

1. Use the buttons on the top right to plan a new import or quickly delete all settings for your Org

2. Additional Settings: This column shows if any additional features have been activated for your Import. For example a status sync or enhanced delivery data

3. - 5. The next three columns show, when the next import is due when the last one ran and the status of the import. You can see if an import is currently running or waiting for the next import.

6. You can use these two buttons to either edit or delete a single report of the list

Planning new Imports

However, if you are relatively new and currently in the setup of your ADvendio instance, the screen you will see looks like this:

Looks a bit empty, because there are no Delivery or Programmatic Imports planned yet. Click the button "Plan delivery report" to continue.

The first step will be to choose what you want to plan. You have the following options:

  • Lifetime Delivery Report: Updates the overall Impressions, Clicks, and Status of your Campaign Items, and can be used to synch your items' performance, to see if they deliver according to the Campaign Item goals.

  • Monthly / Daily Delivery Report: Updates your Campaign Items with detailed delivery information, either on a monthly or daily basis. This will also be needed, in order to invoice your items based on actuals.

  • Programmatic Revenue Import: The import of programmatic revenue data from a DSP / SSP / Exchange as used in our programmatic reporting features

Customers using a version older than 2.130 will need to additionally enter the credentials for a Salesforce User including username, password and security token in order to plan the imports. For all newer versions this is not required anymore. See the section below for more information.

Which Salesforce User is used to actually import the data?

 

Generally, ADvendio uses the Salesforce User, who is planning the delivery reports as also the user who will then be used to import and update the actual delivery information into Salesforce. This is mainly relevant, and you will need to make sure that the user planning the reports has access to all needed objects and records. We generally recommend using a System Administrator profile for this. If you want to use a specific user for the import, for example to better track which data has been updated by the delivery reports, you will need to log into the Salesforce UI with that specific user and plan the delivery reports.

If you're updating from an existing version to 2.130 it depends on your current configuration and what step you will need to take. We're switching from the user that is entered in the settings, to the one who has planned the configuration as the user we take to perform the import actions. It is important, that the user who performs the import, has authorized ADvendio to use OAuth to manage the data and that the user has enough access rights to all relevant ADvendio objects and records. We recommend using a System Administrator profile for this.

  1. You used your System Administrator User to plan the delivery report settings and have also entered his login credentials in the login settings section. Then everything is working like before for you. 

  2. You entered a different user into the login settings section of your Delivery Reports. In this case, you will need to follow these steps:

    1. Log into Salesforce as this specific user, you want to use for your Delivery Imports

    2. go to the Delivery Report Settings / Delivery Report Center, click edit and save the settings again without changing anything

    3. Make sure the user has authorized ADvendio to use OAuth. If not, you can do this by performing any ADvendio Connect-related action, like going to a connection record and clicking the check login button.

Attention:

With the new configuration, it will currently not be possible to use an API only Salesforce user for the delivery imports. If you currently have such a configuration, please contact your Technical Account Manager or support@advendio.com before updating to 2.130, so we can work on a solution.

Lifetime Delivery Reports

Lifetime Delivery Import is a quick way to update the overall performance of your Campaign Items. It will update how many impressions, clicks etc. an item has achieved within its overall runtime. You can use this data to get a quick update on your item's performance, so your sales reps can see if their Campaign Items meet the desired goals, or if they need to make some adjustments.

The lifetime import offers the following settings:

  1. Select the starting time. You can select as many time slots as you like, the lifetime import will always run for all applicable connections in your system. Attention: You can only plan one import/delivery job for each time slot. This applies to all different types of imports. E.g. you can’t plan a lifetime delivery report and a programmatic import to both start at 12:00 

  2. The setting Site-Based Delivery Data shows if your import delivery information is grouped by Top Level Domains or Sites. This is a general setting for your ADvendio Org and can be changed in the Administration Settings (see setup section below). The Checkbox here only shows you if this setting is activated or not

  3. Update Ad Status: Once activated, you will automatically synch back status information for your line items from the external, connected systems

  4. You can also set one or more recipients for results emails. Please be aware that you are required to set at least a Failure Note Recipient in order to save these delivery settings.

Monthly / Daily Delivery Report

The monthly or daily delivery imports will import delivery information for your Campaign Items on a monthly and daily breakdown, so you can see exactly how many Impressions were there for each month. This is required for invoicing based on actuals.

  1. Select the starting time. You can only select a single timeslot here, due to the amount of data that could be imported during this process. Attention: You can only plan one import/delivery job for each time slot. This applies to all different types of imports. E.g. you can't plan a lifetime delivery report and a programmatic import to both start at 12:00 

  2. Select on which days of the month these imports will be running. If you are using them only for invoicing purposes, it might make sense to plan imports on towards the end of a month/beginning of the next month. 

  3. Daily delivery reports can be additionally activated in your Administration Settings (see also setup section below). These will then be automatically planned with your monthly imports (starting 30 minutes after your monthly import)

  4. The setting Site-Based Delivery Data, shows if your import delivery information is grouped by Top Level Domains or Sites. This is a general setting for your ADvendio Org and can be changed in the Administration Settings (see setup section below). The Checkbox here only shows you if this setting is activated or not

  5. Enhanced Delivery Data: Once activated you can import enhanced delivery data for your Campaign Items, which are used for a more detailed breakdown of your delivery information (e.g. Impressions per Device or Audience Targeting). These will require setting an additional breakdown and filter. You can see our wiki on Enhanced Delivery Data for more information.

  6. You can also set one or more recipients for results emails. Please be aware that you are required to set at least a Failure Note Recipient in order to save these delivery settings.



Programmatic Revenue Import

The Programmatic Imports will help you bring data from your SSPs / DSPs / Exchanges into ADvendio, enabling unified reporting and also reusing that information for example in Publisher Payout or our Accounting Interface.

  1. Select the starting time. You can only select a single timeslot here, due to the amount of data that could be imported during this process. 
    Attention: You can only plan one import/delivery job for each time slot. This applies to all different types of imports. E.g. you can't plan a lifetime delivery report and a programmatic import to both start at 12:00 

  2. Select on which days of the month these imports will be running. If you are not planning to use the data in day-to-day reporting, it can be enough to plan the imports at the beginning of a month for the previous month.
    Attention: At the moment our imports are structured in the following way: until the 7th of a month the import will include data from the current and previous month. Afterwards, only the current month will be imported. We’re using this logic to ensure that no data gets lost when the month changes.

  3. You can also set one or more recipients for results emails. Please be aware that you are required to set at least a Failure Note Recipient in order to save these delivery settings.

Activate Site Base Delivery Data or Daily Delivery Data (optional)

Use the App Launcher to navigate to the Administration Settings or

  1. Navigate to Overview.

  2. Scroll down and open the section Setup & Settings.

  3. Click the button Administration Settings.

Additional Delivery Report Relevant Settings

Here you can activate site-based delivery data or Revenue Schedules Daily for daily delivery data (box Enable calculation of Revenue Schedules Daily). Options are deactivated by default and need to be enabled. If you make changes, click Save
