How to use Field History Tracking to review changes on ADvendio Key Objects (Media Campaigns, Campaign Items, Invoices, Invoice Items)

Field History Tracking is a powerful feature provided by Salesforce that allows you to monitor and record changes to specific fields on an object. In ADvendio, this feature has been enhanced to help media businesses like publishers and agencies audit important updates to key fields on Media Campaigns and Campaign Items. This can be particularly useful for billing-related fields or to track changes related to third-party integrations such as delivery updates.

Why Use Field History Tracking?

Field History Tracking is vital for businesses that need to audit and trace updates on their media planning, inventory selling, and media buying activities. It allows you to:

  • Monitor key changes in critical fields such as pricing, billing, and delivery data.

  • Ensure compliance with internal policies by keeping a clear record of changes.

  • Trace the origin of updates to better manage your third-party integrations, such as changes in delivery status from external ad servers or when booking processes were started

With ADvendio’s Field History Tracking, you can see a detailed log of changes made to your media campaign data directly within the platform.

Default Field History Tracking Setup

Please note: If you are a long time ADvendio Customer, or have set up your own History Tracking already, these will not be overwritten by the ADvendio Package. The listed default fields here are a suggestion, you can freely modify them in your ADvendio org.

To get you started, we have activated field history tracking by default on some of the most important fields for the Media Campaign and Campaign Item objects. These default settings can be customized according to your business needs.

Default Fields Tracked on Campaign Items:

  • Ad Type

  • Ad Id

  • AdServer Status

  • AdServer Price

  • Bill Me

  • Billing Status

  • Delivered Clicks

  • Delivered AI

  • From (Date)

  • Until (Date)

  • Sales Price

  • Exclusive

  • Exclusivity Check Status

  • Last Availability Forecast

  • Last Booking Process

  • Last Exclusivity Check

  • Last Delivery Data Update

  • Linear Distribution

  • Quantity

  • Status Submitted to AdServer

Default Fields Tracked on Media Campaigns:

  • Amount Net/Net

  • Campaign Start Date

  • Campaign End Date

How to View Field History Tracking

Once the tracking is enabled, all changes to the specified fields will be logged in the field history section of the object. You will be able to see the old value, the new value, the user who made the change, and the date and time the change occurred.

This information is displayed directly in the related lists of the Media Campaign or Campaign Item object.

Examples of Field Tracking

Billing activity: Track when Media Campaigns and Campaign Items have been activated for billing with the bill me checkbox and the billing status, to trace individual finance-related steps

Third Party System Integrations (such as AdServers): You can track for example the times, when certain processes were performed for a Campaign Item, such as the Last Booking Process, Last Availability Forecast, Last Delivery Data Update.

Booking Calendar Exclusivity Check: The Exclusivity Check Status and Last Availability Forecast fields help you track exclusivity checks and the Exclusive checkbox, marks items

Media Campaign close: Track when a Media Campaign was set to close or how stages changed over time with: Close Date, Close / Lost, Close / Won & Stage

 

Configuring Field History Tracking

While we’ve set up a default selection of fields for tracking, ADvendio offers flexibility to adjust this to your specific needs. You can add or remove fields from the tracking list using Salesforce's configuration options.

Here’s how you can modify the Field History Tracking for your Media Campaign and Campaign Item objects:

  1. Go to Setup in Salesforce.

  2. Navigate to Object Manager.

  3. Select either the Media Campaign or Campaign Item object.

  4. Click on Fields & Relationships.

  5. Scroll down to Set History Tracking, and click Edit to select or deselect fields for tracking.

This setup enables you to tailor the Field History Tracking to the specific fields that matter most to your business processes.
