Use Case 1

  1. Invoice a Campaign Item
  2. Create Accounting Records
  3. Cancel this a Campaign or Invoice Item and invoice the Cancellation
  4. Run the Accounting Record Process.
  5. IMPORTANT: Run the Accounting Record Process again.

Results: 

It might happen that the first accounting process run picks up only the initial invoice and not the cancellation. You will receive a warning in your email telling you that the invoice XY is a cancellation without Accounting Records for your original invoice and therefore no accounting records could be created. You will have to run the accounting process a second time which will clean up the gap and process the credit note of the cancellation. The accounting record creation process has to do this as the system can't guess the order in which you are creating invoices, cancellations, or credit notes. Multiple runs and an email notification will ensure data consistency. 

Results: 

Collection & Distribution: When Accounting Records have already been created for an Item which is subsequently cancelled, cancellation records will be created on the next run of the relevant process.

Accrual and Deferral: When accrual or deferral records have been created for an Item which is subsequently cancelled, cancellation records will be created so long as the original accrual or deferral hasn't been reversed. If the original accrual or deferral has been reversed in the meantime, a Cancellation Accounting Record is not needed.

Use Case 2:

  1. Invoice a Campaign Item
  2. Cancel this Campaign Item or Invoice and invoice the Cancellation
  3. Create Accounting Records

Results:

Collection & Distribution: When an Item has been cancelled and has not yet had any Accounting Records created, on the next run of the relevant process, both the original and cancellation Accounting Records will be created.

Accrual and Deferral: When an Item has been cancelled and has not yet had any Accounting Records created, on the next run of the Accrual or Deferral processes, no Accounting Records will be created.
