Challenge

Being able to exclusively reserve inventory for certain advertisers or agencies for a specific timeframe while blocking the inventory from being booked for other clients.


Solution

We now offer you to move campaigns into a reserved status where they block the time slot and quantity for a specific timeframe.

You will be able to detect the reservation status in different ADvendio features so that all departments can keep track of inventory to be released soon and see how long it will be reserved.

Please follow the steps below to reserve inventory.

Mark Campaigns as reserved

While setting up your Media Campaign for a client you will add the inventory that fits to your clients needs and save those items.

After finishing the setup you could directly move your campaign into the reserved status by changing the stage.

Your administrator defines either an own reservation status or select an existing one to be used for reservations. For further setup information please take a look at the setup section at the bottom of this page.

As soon as the relevant stage on your Media Campaign was set the only step missing is to set the date until which the inventory should be reserved.

You can do this by selecting a date in the “Reserved Until” field on your Media Campaign.

If the field is not in the layout please ask your administrator to add “Reserved Until” to the Media Campaign layout.

After the Reserved Until date has passed the campaign will be treated as an offered campaign and therefore the inventory will be available for other bookings again.

If your campaign is lost you can change the Status of your Media Campaign to release the inventory again.

Recognize reservations in the Availability Check

While checking the availability of your Campaign Items it might happen that you are checking inventory which was already reserved. If that is the case you can recognize this by a minimized Total Availability and by the contending items that are shown which can either be reserved or booked.

Check reservations in the Booking Calendar

While checking the availability of inventory or existing reservations in the Booking Calendar you will see a view with 4 numbers per cell.

If you are still seeing 3 numbers per cell in your Booking Calendar please ask your administrator to enable the Booking Calendar template for reservations. For further setup information please take a look at the setup section at the bottom of this page.

Those 4 numbers will contain the different booking statuses per time unit and per price. The first number shows the booked units, the second number shows the reserved units, the third number shown the offered units and the fourth number shows the still available units (calculated based on: total availability - booked units - reserved units).


Setup

  • Adjust the Media Campaign page layout by adding the field “Reserved until”

  • Create the following feature setting and add the API names of your relevant Stage field picklist values (depending on your needs you can add any Stage picklist value in this setting).
