4.11.3 Automatically Push Updates or Cancellations of Campaign Items to Connected Third-Party Systems (With the Optimizer)

With this new feature in ADvendio, users can automatically sync changes made to Campaign Items with connected third-party platforms, such as an AdServer. This enhancement is designed to improve campaign management by streamlining updates and cancellations, ensuring that any adjustments are promptly reflected in external systems without requiring manual submissions.

Purpose of the Feature

This feature addresses two primary use cases:

  1. Running Item Optimizations: When adjustments are made to a Campaign Item that is already live, such as a price change or updated delivery settings, these changes can now be automatically pushed to the connected third-party platform. This allows optimization updates to take effect immediately without additional steps from the user.

  2. Item Cancellations: If a Campaign Item is canceled in ADvendio, the canceled status can now be automatically synchronized with third-party systems. This ensures the item stops delivering in external systems, saving time and reducing the risk of errors.

What’s New

We’ve introduced Salesforce Flow templates specifically designed for handling these updates and cancellations. These flows are triggered automatically when using ADvendio’s Optimizer feature and initiate the Submit to AdServer function to push changes to connected platforms.

Key changes include:

  • Automatic Triggering: When the Optimizer is used to modify a Campaign Item, the new flow templates automatically initiate an update to the external system.

  • Automated Cancellation: If a Campaign Item is canceled, the flow ensures the external system is updated to stop delivery.

  • Notification of Completion: The user who activates the optimization or cancellation will receive an email notification when the process is complete, offering confirmation that the changes were successfully processed.

The new flows are called:

  • Auto Optimization Submit

  • Auto Cancellation Submit

How to Configure Automatic Updates and Cancellations

To start using these flows, follow these configuration steps:

  1. Create a New Flow:

    • Go to Setup in Salesforce.

    • Navigate to Flows and select New Flow.

    • Choose the option to Create from Template.

  2. Select a Flow Template:

    • In the template list, find either the Auto Optimization Submit or Auto Cancellation Submit flow.

    • Select the appropriate flow based on your use case (optimization or cancellation).

  3. Customize Field Changes (Optional):

    • Within the flow, you have the option to specify additional field changes on the Campaign Item if needed. You can modify the node ‘SetSubmitCriteria’ for this.

  4. Ensure Status Update Configuration (Auto Cancellation Submit Flow):

    • For the cancellation flow to function correctly, the Status Update Feature must be activated in ADvendio. Refer to the Status Update Configuration Guide for more information.

    • The flow is setting the value ‘Canceled’ to the field AdServer Status on the Campaign Item, please take into account that you might need to add this to the list of picklist values, in the Object Manager / Field Configuration.

    • We recommend mapping the ‘canceled’ status to a released or unreserved status for the target platform if possible. You can additionally modify the Campaign Item AdServer Name to make it clearer for your team, that the item has been canceled. Please note that ADvendio integrations do not offer to delete Items within Third Party Platforms.
