4.4 Check Availability in ADvendio
Challenge
To effectively manage campaigns, Sales representatives must check if the campaign items are available within a specific time period.
Solution
Use the Availability Forecast feature to gain insights into the quantity and type of items that can be sold to customers, either by checking the Booking Calendar for exclusive items or by submitting them to compatible AdServers:

If a Campaign Item is not exclusive and not connected to an external system it will be shown as "non forecastable" on the forecasting overview.
Availability checking in ADvendio generally supports two types of modes:
The system is checking if Campaign Items:
availability is exclusive OR
availability is connected to an external system (external AdServer)
For example, if both Adserver availability and exclusive availability are presented, the system will perform an exclusive check, not an AdServer check.

1. Digital Campaign Items
First, the requested Media Campaign information is transferred from ADvendio to your AdServer. Then feedback on the availabilities per Campaign Item is:
retrieved
stored at the line item in the two fields' last availability forecast and availability
directly sent back in the forecast window and you will also receive an email (which can be turned off by your Admin)
The availability forecast now considers targeting criteria and you will get details back for Google Ad Manager.
Make sure that the field "Query Inventory" is checked on the items you have selected.
You can turn on and off the
Email notification and the
Detailed criteria breakdown in your 7.2.1 Administration Settings (starting with version 2.85, Google Ad Manager only)
A popup window appears which will show you all the relevant results.
If you want to, you will also receive an email once the process is finished. Once check availability is started, you don't need to stay in the window that opened. The process will still finish, you can close the window and simply wait for the Email with the results:
Improved Availability Check for Additional Delivery Units
We have made improvements to our availability check feature for additional delivery units. Our system now takes into account the number of delivered impressions and units while checking the digital availability of already running campaigns.
For example, if you have a live campaign and you want to check the digital availability of additional units or impressions after the initial delivery, our system will now take into consideration the units or impressions already delivered. This ensures that the available results are more accurate than before.
With our latest update, we have made sure that the system deducts the delivered units or impressions from your requested quantity, providing precise availability checks for any additional units or impressions in your campaign.
2. Exclusive Products

Just like in the Booking Calendar, you can view whether your item is available for the period or publication date you have selected in your Media Campaign.
Check the items you would like to test the availability for and click on the Check Availability Button.
For Content related products you can also view both available and unavailable Contents.
Hit the Back button to return to the campaign. If you also have selected digital items the process proceeds in Chapter 1 above.
3. Checking Availability during Item configuration
You are also able to check availabilities on the fly during the configuration of your Campaign Items! See immediately if your desired item is available or if you need to adjust your configuration, by simply clicking the check availability button.
You will receive a popup, with all the information needed:
The information from the Availability Check will be saved to your Campaign Items once you save it from the Media Configuration.
4. Checking Availability in Campaign Builder
Checking Availability in Campaign Builder: Step-by-Step Guide:
From the App launcher access the media campaign, go into Campaign Builder view
In the top right corner, you will see the Check Availability button
Ensure you have selected the correct values in the tabs Period, Prices, etc
Once the availability is checked, you will see a note saying the Availability check process finished
Availability may change, if you modify one of the following fields. Therefore we will show an “Outdated Data” message when changing these fields after an availability check was performed:
From Date
Until Date
Quantity
Frequency
Any Targeting (Daytime Targeting, Frequency Capping, Inventory/Geo/Device/Video Position/KeyValue/Audience Segments,…)
Selected Targeting Sets/Groups
Content

With Campaign Item results and drop-down tabs Contending Ads and Criteria Breakdown
In the Campaign Builder, you can check the availability of your items with selected Content. It will give you a list of both available and unavailable content. You can search through this list to see which content will be removed or needs to be checked in more detail:
